Job Title: Executive Administrator and Office Manager Department: Sales
Reports To: VP of Events Status: Full Time
Customary Days: Monday : Friday
Customary hours: Normal Business Hours
We are looking to add a talented person to join our Newport team. This role will perform the responsibilities of an Office Manager and the Executive Administrator to our Newport Sales Manager.

As an Executive Administrator and Office Manager, you are expected to excel in the following tasks:

:Effectively manage day:to:day schedules internally and externally, with a keen attention to detail and ability to determine priority.
:Tidy, organize and maintain kitchen and common areas.
:Coordinate with vendors for all office needs, deliveries, etc.
:Screen and respond to incoming calls and requests and guide them to the corresponding department as needed.
:Support a culture of no client should be a one:time client.
:Anticipate the needs of the Newport Sales office and be proactive in accommodating those needs.
:Partner with Accounting/Billing to ensure compilation of accurate final billing and the collection of accounts receivable.
:Ensure accurate and comprehensive files are maintained with proposals and clients.
:Adhere to internal event production paperwork deadlines to include production meetings and tastings.
:Perform other relevant duties as required.
Desired Skills and Experience
:Associates degree in Business Administration or related industry.
: Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, PowerPoint and Adobe Acrobat.
:Must possess strong problem:solving skills and creative thinking with the ability to formulate ideas into action
:Have excellent organizational skills; ability to initiate, plan, prioritize, and conduct multiple projects successfully and meet frequent deadlines
:Excellent writing and proofreading skills are a must
:Self:motivated with the ability to work in a fast:paced and deadline:oriented environment
:Pristine attention to detail
